How Often Should Your Team Meet?

How often should your team meet? Regular check-ins with your team are an excellent practice to incorporate into your management style. But is there such a thing as too many meetings? Or, maybe you’re not meeting enough, and your team isn’t getting the support they need. Here is how to choose the proper meeting cadence for your team.

How Often Should Your Team Meet?

What is a meeting Cadence?

Cadence is a musical term that refers to a specific chord progression. The term has been adapted for business to refer to the rhythmic sequence of the workplace. This refers specifically to meetings in terms of frequency and format of meetings. Every company and department will be different and need to set meetings to enhance workflow, not inhibit it.

How Long Should a Meeting Take?

A meeting should only take as long as needed to be efficient and effective. While that seems vague, it will be different for every business need. A status report, for example, will take less time than an annual review. Also, daily meetings should last much less time than quarterly meetings. However, meetings should also have established expectations for length and be scheduled not to go over.

What Topics are Best Reserved for a Meeting?

We all know the joke about “this meeting could have been an email.” But some discussions can’t be and should be reserved for that in-person group or one-on-one conversation. So what topics should be reserved for meetings, and what can be an email? If the matter is one-sided and informational, an email will suffice. If it requires discussion back and forth, it’s better to have a meeting or call. Topics that should always be a meeting include performance feedback, disciplinary actions, and collaborative discussions.

Other Ways to Check In

What are the best ways to get information to your team outside of a meeting? Direct chat is becoming the top tool in a remote work environment. Using software such as Slack offers channels for different groups, such as managers to employees or the entire department. Email will remain a way to connect professionally, especially if a response isn’t needed immediately.
